by these official Market Guidelines. Signature
on your application denotes acceptance and
understanding of these terms and Guidelines.
Vendor/Market Guidelines
Purpose
The Wilmot Farmers' Market is a registered
independent non-profit entity in the State of New
Hampshire.
The Wilmot Farmers' Market is organized
to provide a profitable outlet for local farmers,
growers, prepared food providers, bakers, artists
and craft-persons while providing the general public
access to high quality, fresh, homemade products while fostering community spirit. All items
sold in the market must be produced within New
Hampshire, unless otherwise approved and identified.
The Wilmot Farmers' Market operates
under the guidelines set forth by its Board of
Directors which is responsible for the overall
market management. Day-to-day operations is
under the guidance of the Managing Director. The
organization strives to obtain an
attractive mix of vendors and may limit competition
in particular categories in order to obtain this
mix. Vendor fees collected are used to provide
advertising, marketing efforts and entertainment
during market hours.

Our Mission is to have fun as we sell our
homegrown and homespun
goods at a profit while fostering community spirit.
Saleable Products
Items sold must be grown or produced within New
Hampshire and may include, but are not limited to:
agricultural goods, baked goods, dairy products,
free range poultry and meat products, eggs, flowers,
produce, fruits and berries, herbs, honey, jams,
jellies, plants, syrup,
jewelry, wool items, wood
crafts, pottery and similar kinds of products. Vendors may not sell
commercial products for resale. IMPORTANT: vendors
wanting to add to their saleable items AFTER being
accepted to the market must make additional application for
those items with the Board. Non-profits
organizations who participate may not sell items
already represented by paying vendors.
The Wilmot Farmers' Market has a set amount of space for vendors and strives to attain an
attractive mix of products within this space -- 70% being agricultural
and prepared foods, 20% arts and crafts and 10%
representing town non-profit organizations. To
maintain this mix, the Board fills openings for
products sold at the market based on the existing vendors and
products, among other considerations. NOTE: "specialty items", (items other than produce)
are sometimes limited to ensure variety in the
Market.
Any vendors admitted as “agricultural” may sell
produce, but not cross over into other categories
(selling crafts, prepared food, etc) unless
authorized by the Board. Prepared food and craft
vendors shall NOT sell produce or cross over into
any other categories unless admitted by the Board.
Hours/Dates
The market operates from the first
Saturday in July through the last Saturday in
September unless otherwise noted.
Hours of operation are 9:00 a.m. to Noon with
selling commencing only upon ringing of the opening
bell and ending at ringing of the closing bell.
Vendor Fees
and Information
07 Full Season Vendor Fee is $80 for a 10’ x 10’ space
and must be paid in full before membership
takes effect. Full season membership requires
a vendor to to attend a minimum of 11
out of the 14 weeks of the scheduled season .
Full season vendors are assigned consistent placement on market grounds.
There is a $10 per week Part Time Vendor Fee for the
2007 season. Part-time vendors are accepted on a
first-come, first-served basis for any open spaces
available each week. Part-time vendor’s fees must be
paid by the Thursday prior to participating.
Applications from vendors willing to commit to being
a "full season" vendor will be given preference over
those seeking to participate part-time in any given
category or vendor opening where and when available.
Applications from previous season vendors will also
be given seniority over new applications.
Rain/Shine Policy
The Wilmot Farmers Market is OPEN RAIN OR SHINE. Vendors should evaluate if their display/product is
a viable option for an outdoor open rain or shine market
before making application as attendance is expected
regardless of weather conditions.
Guidelines Violation Policy
The first instance of non-compliance by a vendor
with any written rules/guidelines or by-laws shall
result in a written warning by the Board. The
second instance of any non-compliance, whether for
the same violation or another, shall result in
termination of the vendor’s Membership. Termination
shall not relieve a Member of un-paid dues, or other
charges previously accrued, and no refund of any
dues paid will be granted.
Attendance Policy
Full season vendor attendance policy allows for up
to 3 scheduled absences during the 14 week
season. If for some reason you are unable to attend
you must notify the Managing Director (Lori Fogg,
603-526-7729) of that date as far ahead as possible
but NO LATER THAN THURSDAY BEFORE THE SATURDAY YOU
WILL BE ABSENT. Failure to do so is an
un-scheduled absence and will result in the vendor
being issued a written warning. Timely notice of
absences is necessary so that the space can be
filled from the waiting list to help the market
retain a “full” look.
Displays
Full-season and Part-time Vendor spaces are 10 feet
wide by 10 feet deep. Vendors should display their
business name as required by the State of New
Hampshire. To maintain a professional and
attractive atmosphere, vendors must display their
products for sale on tables with table cloths or
other suitable display fixtures, up off the ground -
exceptions would be items such as plants and very
large items like wood carvings which receive
exemption to the rule via the Board.
The Market is open rain or shine and vendors are
required to have adequate protection from the
elements (pop up or "Ez Up" style canopy, etc.).
The Market is not responsible for damages to vendor
property or products due to the weather.
Vendors are required to properly secure their tents or
coverings. Lines, ropes, or other supports should
not extend into any other vendor's area or into
customer traffic areas. The Market reserves the
right to require any vendor to remove or change any
display that appears hazardous or does not conform
to the requirements for displays.
Additional Vendor Responsibilities
1.
Each vendor is responsible for complying with the
New Hampshire Department of Agriculture regulations
pertaining to items sold at the market. Vendors
selling by weight are expected to use certified
scales; this is the responsibility of the vendor.
The Market will be registered with the state of New
Hampshire to allow growers to accept WIC coupons;
certification in the WIC program is the
responsibility of the grower.
2.
Every vendor is required to be at the market on time
and completely set up by the time the Market opens
for business at 9:00 a.m.
(Set up starts at 8 a.m.) The market adheres to a
strict "no selling prior to 9:00 am opening bell"
policy.
3.
Vendors are to remain set up and open for business
until the Noon closing bell sounds. No early
tear-down or closing allowed.
4.
Each vendor will provide their own display.
5.
Vendors must clean their space thoroughly and remove
all trash before leaving. All vendors are
encouraged to have a trash receptacle handy especially those selling food
or providing food samples.
6.
Vendors may bring their vehicles to their space for
loading and unloading only. Vendor vehicles must
be moved into the designated Vendor Parking Areas
prior to the 9:00 a.m. opening of the Market. No
selling from vehicles is allowed. Vendors may not
bring vehicles back onto the green more than 10
minutes before the closing bell.
7.
There is a no-smoking policy for vendors and their
parties within their displays and on the town green.
8.
Vendors will be required to provide an
anonymous accounting of gross sales by
category at the end of each week to help gauge the
measure of success for advertising campaigns and
promotional efforts and for use in future grant
filings. Full cooperation with this effort is
expected and appreciated.
9.
The Market is not intended for unloading of produce
at below market prices and produce must be priced in
line with other vendors (ref: NH Weekly Market
Bulletin as guide)
10.
The Market strongly encourages vendors to carry
their own product liability insurance.
11. Vendors should follow NH Division of Public
Health (603-271-4589) and Bureau
of Weights and Measures (603-271-3700) laws and
regulations and any other regulations that may
apply. |
